ON-THE-DAY EVENT MANAGEMENT · UK & LONDON
The Brief
There is no bigger honour than being asked to Event Manage someone else's planning and set up. Collaboration is key, and the feeling that you want this to go really well for them makes it feel like it is your own baby (metaphorically speaking!). The trust is huge and the most vital component.
Over the years we've been brought in by fellow planners, agencies and in-house teams to run the day itself or to be an extra pair of hands working as a team. The images below are taken from days spent with Superglue Ltd and MGN Events Ltd

VIP & Guest Liaison
From the first arrival to the last goodbye, VIPs, speakers and key guests are looked after personally. Discreet meet and greets, private green rooms, dietary requirements handled without fuss, and a calm point of contact throughout the evening. Guests should feel considered, never managed.
Set-Up of Parties & Dinners
We arrive early, walk the space with the original planner, and take ownership of the build. Table plans, place settings, florals, candles, favours, signage, AV positioning, every detail cross-checked against the brief. Nothing goes on a table until it's exactly as the planner intended.

Band, Entertainment & Supplier Management
Sound checks, running orders, dressing rooms, hot food and cold drinks for the band, cue points with the AV team, MC handovers — all coordinated on the ground so performers can focus on performing. Every supplier gets one clear point of contact for the day, and that is us.

Timelines That Actually Hold
A detailed run sheet is agreed with the lead planner in advance, then quietly enforced on the day. Doors, drinks, speeches, courses, cake, first dance, carriages — everything landing on cue, with the flexibility to absorb the little surprises every event throws up without the room ever feeling it.

Wrap-Up & Handover
When the last guest leaves, the work isn't quite done. Suppliers are paid off, hired kit is checked back in, personal items and gifts are returned to hosts, and the venue is left as we found it. The lead planner gets a clear handover the next morning — what went beautifully, what to note for next time, and everything neatly closed off.

The Takeaway
On-the-day event management is a quiet art. It's holding someone else's vision with the same care as your own, protecting their reputation in the room, and giving them the rare gift of actually being present at the event they built.
If you are a planner, agency or brand looking for a safe pair of hands to run the day itself, or to help out, we'd love to hear from you.
